IS A RESERVATION OR PERMIT REQUIRED?

In accordance with City of Calabasas Municipal Ordinance No. 2024-405, written authorization is required for the following:

Gatherings of 25 or more people, regardless of age
Use of inflatable equipment or mechanical attractions (e.g., bounce houses)
Recurring activities, gatherings, team practices, or games
On-site services such as taco carts, character appearances, or entertainers
Private instruction such as sports and fitness lessons, dog training, tennis lessons, yoga, and day camps
Filming or photography for commercial use

RESERVE A PICNIC SHELTER AT A PARK

Follow the step-by-step process below to secure a permit for one of our three parks with picnic shelters.

PicnicShelters Picnic shelter reservations may be conveniently booked online up to six (6) months in advance. A minimum of 14 days is required for all park permits.

STEP 1: Review our current rental rates, rental hours, capacity information and park amenities below to find the park that best suits your event needs.

STEP 2: Check availability, submit forms, and pay fees via the CivicRec Online Portal. A hold on the picnic area will be placed once the completed form, along with the required deposit and administrative fees, has been received.

STEP 3: Get ready for your event! If you plan to hire a vendor, please review the information on the tab below. The verification process for third-party service providers must be completed no less than 30 days prior to the event date.

STEP 4: Reservations and permits are issued via email once all materials have been reviewed and approved by City staff. A copy of the permit is posted in a kiosk at the site on the day of the event.

RESERVE A CITY FACILITY

Follow the step-by-step process below to reserve an indoor space at one of our City facilities.

Reservations are accepted between 30 days and 6 months prior to the desired event date (the Calabasas Community Center offers bookings up to 12 months ahead).

STEP 1: Review the rental rates and amenities in the links below:

STEP 2: Send a general Facility & Date Inquiry to the Rentals Team to confirm the availability of your preferred venue and dates. You may also request information about alternate site options through the form. A member of our staff will respond within 24 hours (Monday - Friday).

STEP 3: Once availability is confirmed, a staff member will forward an official Facility Rental Request Form, which outlines the rules and regulations and finalizes details about your program needs. A hold on the venue will be placed once the completed form, along with the required deposit and administrative fees, has been received.

STEP 4: Get ready for your event! If you plan to hire a vendor, please review the information on the tab below. The verification process for third-party service providers must be completed no less than 30 days prior to the event date.

STEP 5: Submit any remaining fees and insurance documentation no less than 30 days prior to the event date.

STEP 6: Finalize the plan. Indoor rentals include tables and chairs. Staff will confirm your preferred setup ahead of time to ensure the City's in-house equipment is arranged before your scheduled arrival on the event day.

BOOK A SWIM PARTY AT THE TENNIS & SWIM CENTER

Looking for a fun and memorable way to celebrate? Host a poolside party in our reserved picnic area at the Calabasas Tennis & Swim Center!

Availability:
Weekends from 1:00 P.M. – 5:00 P.M., during public Family Swim hours.

What's Included:
Enjoy exclusive use of the picnic area and professional lifeguard services. Lifeguard staffing is adjusted to ensure safety based on your party size and overall pool attendance.

Swim Party Restrictions:
To ensure a safe and enjoyable environment for everyone, outside vendors, live entertainment, and amplified sound are not permitted in the pool area.

RENT A COURT OR FIELD AT A PARK

Visitors are welcome to enjoy the occasional recreational use of fields and courts at City of Calabasas parks. However, City of Calabasas Municipal Ordinance No. 2024-405 requires a permit for recurring activities, organized gatherings, team practices, and games.

Permits may be secured up to 6 months ahead of time, but we do require at least 30 days' notice.

STEP 1: Review our current rental rates and sport amenities to find the park that best meets your team's needs.

STEP 2: Send a general Facility & Date Inquiry to the Rentals Team to confirm the availability of your preferred park and dates. You may also request information about alternate site options through the form. A member of our staff will respond within 24 hours (Monday - Friday).

STEP 3: Once City staff confirm availability, you’ll receive the official Facility Rental Request Form to sign, acknowledging the City’s policies. The venue will be held once the completed form, deposit, and administrative fees are received.

STEP 4: The City requires permit holders to carry insurance coverage of $1,000,000 with a separate endorsement page (two pages total) naming the City of Calabasas as additionally insured while on property.

STEP 5: Any remaining fees are due no less than 30 days prior to the event date.

HIRING ENTERTAINERS, VENDORS, & BOUNCE HOUSES

What to Know Before Hiring a Vendor at a City of Calabasas Park or Facility

In accordance with City of Calabasas Municipal Ordinance No. 2024-405, a permit or reservation is required for use of any on-site services such as bounce houses, taco carts, and character appearances at a City of Calabasas park or facility.

All parties are required to comply with the City's regulations and meet the minimum insurance requirements in order to minimize liability exposure and protect taxpayer assets.

INSURANCE

Patrons with a reservation or permit have the freedom to hire their preferred vendors, provided they meet the insurance requirements and comply with City policies.

As a courtesy, the City maintains a list of service providers who currently meet the minimum insurance requirements. This list becomes available to patrons after they complete the initial booking process and submit the required deposit.

Vendors must be verified by the City's Rental Division no less than 30 days before the event.

PROHIBITED SERVICES/ACTIVITIES

When choosing a vendor, note the following is prohibited at City parks and facilities:

Bull horns
Colored Powder
Confetti or Glitter
Dunk Tanks
Fog / Smoke Machines
Motorized Equipment
Outdoor Amplification
Open flame Cooking
Ponies / Petting Zoos
Rock Climbing Walls
Snow or ice attractions
Silly String
Trampolines
Water Balloons
Water or Gel Beads (“Orbeez”)
Waterslides/water-based attractions

Food trucks and gaming trucks are prohibited at City parks & facilities with the exception of the Calabasas Community Center and Civic Center when authorized as part of a facility rental.

City Staff reserves the right to prohibit any attractions, services, or equipment with potential to damage property or threaten the safety of others.

BOUNCE HOUSES & INFLATABLE ATTRACTIONS

Bounce houses / inflatable attractions are restricted to park facilities and may be no larger than 25’ x 25’ in size.
Electricity is NOT provided for outdoor rentals. Renters must secure generators for any outdoor equipment requiring power.
It is the responsibility of the renter to coordinate delivery, set-up, and breakdown of equipment within paid rental hours.

ALCOHOL POLICIES

ALCOHOL IN CITY OF CALABASAS PARKS & FACILITIES

In accordance with the City of Calabasas Municipal Ordinance No. 2024-405, dispensing, consumption, and/or possession of alcoholic beverages is restricted to indoor facilities only and when written authorization by the City of Calabasas is secured through a facility rental or City sponsored event.

Alcohol is prohibited in the parks' outdoor spaces, picnic areas, and pool decks at Tennis & Swim Center.
Alcohol is restricted to the areas specified in the rental agreement.
Only beer, wine, and *seltzer* may be served. Hard alcohol is strictly prohibited at all City properties.
Additional insurance fees are required for events serving alcohol. Rates subject to underwriter discretion.
Security is required at events serving alcohol, regardless of number of attendees. All costs associated are passed to the customers.
Renters are required to stop serving alcohol no less than one (1) hour prior to end of event.

DEPOSITS, CANCELLATIONS, & REFUNDS

DEPOSITS & DEPOSIT REFUNDS

As a condition for using public property, the City requires a set amount of money paid by the customer to hold a location/site for an event and serve as a guarantee that they will abide by the terms and conditions of the agreement to use the location/facility.

Deposits are fully refundable and automatically processed within one month of the event unless:

the rented space has been damaged
the maximum guest capacity and/or reserved space limit has been exceeded
use of any unapproved vendor
continued occupancy of the space beyond the reserved hours
there was a violation of the City’s rental rules, regulations, or government laws

DAMAGE / NON-COMPLIANCE FEES

Facility Rental Damage and Non-Compliance Fees are incurred if there are violations of the rental agreement, excessive cleaning requirements, or unpaid balances. If the security deposit does not fully cover these costs, additional fees may be assessed to the applicant in order to recover the City’s expenses.

CANCELLATIONS & REFUNDS GUIDELINES FOR FACILITY RENTALS

Applicants wishing to cancel a rental prior to the reservation date must submit a request in writing.
Convenience fees are non-refundable.
Refund rates are as follows:

In the event a reservation is postponed and later canceled by the applicant, all refund rates revert to the date of the original reservation.

In the event of a natural disaster, scheduling conflict on the City’s part, or conditions arise which render the facility unusable, one of the following may occur:

all refundable monies may be returned or credited
an alternative location may be provided
the event may be rescheduled

Outdoor rentals may be cancelled, and all refundable monies returned or credited due to inclement weather, so long as the facility is unused by the applicant and the weather meets one or more of the following criteria:

temperatures reach below 45°f or above 96°f
active precipitation
winds in excess of thirty (30) miles-per-hour
The National Weather Service forecast twenty-four hours prior to the rental date show 50% or greater chance of inclement weather in Calabasas during the rental hours
